General Terms & Conditions

Product and Production time is based upon business days (Meaning Monday - Friday, excluding Holidays, meaning Calendar Holidays)

Our pricing and products are subject to availability only. Any and all applicable taxes, delivery, setup/screen charges are extra. Please allow 3-4 calendar weeks for production, delivery, and final approved artwork. Shipping from manufacturer or supplier to the customer is FOB. All prices are in CDN dollars. All quotes are valid for 10 business days. If there any changes to an order, PROMOPAYS reserves the right to tender a new revised quote.

When there is an order currently unavailable or a portion of it, the customer/consumer, cannot cancel the entire order. PROMOPAYS will make you aware when stock will arrive. If there are more than one of your orders backordered, you will only be invoiced for the delivered goods prior to any completion of backordered work. PROMOPAYS reserves the right to credit you the remainder until you have been delivered the rest.

Any rush services must be communicated to a PROMOPAYS representative to see if there is a quicker turn-around time offered by the supplier/manufacturer, meaning super rush orders.

Any discrepancies found on PROMOPAYS's website and Supplier's/Manufacturer's listed pricing, the supplier/manufacturer and/or PROMOPAYS pricing will prevail.

Once the final quote and virtual sample(s) are approved, 50% of the total is non-refundable. Once the artwork proof is approved, 50% of the total and 100% of the artwork cost are non-refundable. Once products are imprinted, 100% of all costs are non-refundable. PROMOPAYS will request to the supplier to stop the print production process, if requested by the customer, and the supplier will notify PROMOPAYS as to where in the process of print production they have stopped at. If product imprinting is inferior, it is completely at the discretion of the supplier to handle the problem. In most cases, PROMOPAYS charges the full amount to first time buyers before starting their order.

It is the customer's responsibility to order a sample, if unsure of the quality of products. Samples are available within 10-14 business days. Ask about the sample policy and the costs.

Our suppliers and manufacturers reserve the right to make minor changes when required to keep and maintain a cost efficient, and continued supply.

Delivery

There is always a delivery charge. All products will be shipped via courier such as UPS, FEDEX, or Canada Post/USPS. There is a choice of ground or air transportation. The shipping charges will be added to your final invoice. PROMOPAYS usually does not provide shipping estimates, unless requested. Depending on the "Over runs and Under runs" delivery charges may slightly change from the estimate.

Glassware is uninsurable by major couriers. (Mugs, Champagne glasses, Wine glasses, etc)

Products to the USA, PROMOPAYS is not responsible for applicable duty, broker and any state taxes (if any).

PROMOPAYS is not responsible for losses or damages during shipping. If your product is not received in a timely manner, or in good conditions, it is your responsibility to inform PROMOPAYS representative within 48hrs via email (customer service).

All products coming from the USA have duty and brokerage fees already included. Rush orders will cost more, and additional duty and brokerage fees will apply.

There is a re-stocking fee on the returns of blank goods. This re-stocking fee depends on the supplier's own Terms & Conditions.


Payment

Net 30 OAC is available. There will be a 2% charge per month if any account has not paid in full under NET 30 terms.

You must provide PST or Native exemption numbers in order to be exempted.

PROMOPAYS accepts Mastercard, Visa, Money Order, Bank Draft, and Cheques.


Canadian Dollar Pricing

PROMOPAYS is a Canadian company and all our invoices are billed as Canadian dollars. If paying in other currencies, your credit card merchant services will adjust it to the current rate of exchange.


Trademark Usage

Any artwork, logos, designs and trademarks imprinted on products within this website have been reproduced to represent only as an example of quality. All of the products do not represent or constitute the intent of any type of endorsement of PROMOPAYS.

All artwork submitted by the customer must follow full compliances with all applicable laws of trademark, copyright, service mark, privacy rights, limitations of contractual patent, or other similar acts or policies of protection.


Set-up Charges

Set-up charges is an industry standard. Charges will be noted in the detail sections of all the products we have within our online promotional products catalogue or within the page of the product or service. The setup charges are always charged, and will increase as additional services are required, such as adding more colours, screens, plates, etc.


Art Charges

There is a charge of $40/hr for any artwork provided by PROMOPAYS, such as recreating a design, or creating a logo for a company, or any type of adjustments or preparations before submitting the artwork to the supplier for print.


Meaning of Distortion Factor

Many of our products have multidimensional curvatures, so there might be a slight distortion of an unknown degree in some imprinting jobs. For example, this could occur when imprinting images that are perfectly round, rectangular or square.


Colour Matching

Colour is printed to Promopays' standards. We will try our very best to get as close to the colours of your artwork. Exact colour match is not guaranteed and nearly impossible on large printing runs. Critical colours requires a colour key or match print. Colour laser copies or other proofs are not considered accurate prepress proofs.  


Artwork Must be 300dpi+

We strongly recommend that your artwork is saved as Adobe Illustrator (.AI) or in Adobe Acrobat (PDF) or if saving as an Adobe Photoshop (PSD) or JPEG, make sure the resolution is at least 300dpi or better. Anything less will result in poor image quality (ie. you will see pixelation on the edges of your images). At PROMOPAYS, we are all about high quality.


Over Runs and Under Runs

In some instances, due to manufacturing and production issues, you may receive an over or under run of your ordered quantity. While we attempt to reduce these occurrences wherever possible, a ± 5% tolerance is the accepted industry standard. Pricing will reflect the actual shipped quantity. For lanyards, they have a variance of +/-10%.

If you are in need of a specific quantity or product, there may be an extra surcharge from the supplier. PROMOPAYS advises customers to order an extra 5% in cases of a possible under run.

Exact quantity requirements may involve a surcharge from the supplier. If you require a specific quantity of product but are unwilling to pay the exact quantity surcharge PromoPays advises that you order an extra 5% in product to account for any possible underages.

Paper or plastic bags may vary up to 20%, though it is a rare case. PROMOPAYS will try to keep these variances to a minimum.

Fixed Price or LOI (Letter of Intent)

If PROMOPAYS is presented with a LOI, it may be possible to arrange better competitive pricing. Providing that the total quantity of products be purchased within 6 months. This must be a signed agreement showing letter of intent. Please ask one of our representatives to provide you with further details.

Warranty/Warranties

PROMOPAYS has established suppliers across North America. Not every supplier has the same warranty specifications. Many of our suppliers/manufacturers have their own unique warranties for the products they carry. If ever a product is found to be defective within 14 days of receipt. PROMOPAYS must be notified in order for action to be taken on replacing the defective product. The product will be replaced as a blank, non-imprinted product.

It is solely the customer's responsibility to make sure that their order is correct upon receipt. Please report only issues that are of importance within 10 business days or all else will be considered void, non-claimable, non-refundable.
